Cross-project-council: Collab Summit Montreal?

Are we running an OpenJS Collab Summit in Montreal after Node+JS Interactive? is the venue booked?

If we do, I propose:

  1. we create a new repo under the OpenJS foundation github: "collaborator-summit".
  2. we keep working on https://github.com/openjs-foundation/cross-project-council/tree/master/proposals/stage-1/COLLAB_SUMMIT
  3. we need to start promoting it so people could look for flights/etc.

Collab Summit is typically for collaborators to get together and talk about topics that they are unable to as well remotely. However, it is also a secondary goal to encourage new people to get involved. We try to make it more focused on goal #1 because it's difficult to accomplish a lot if folks in those convos do not have a lot of context to pre-existing conversations that are being continued in person.

With OpenJS forming, we are constantly thinking about how to make sure to incorporate other projects. And, if you'd like to be involved in those convos, we have weekly planning meetings! :)

Answers to your questions
Q. Is the collaborator's summit intended to be for the Node.js project or all foundation projects that want to take part?
A. It is for all foundation projects to take part

Q. Is the collab summit intended to be a place for the foundation to discuss foundation stuff or just for Node.js and perhaps other projects to discuss their direction?
A. The last collab summit we had an intro piece where other projects had the opportunity to present. And, there were other topics submitted in the CFP (currently open for the next one) to discuss topics outside of Node.

As currently worded it's slightly confusing as it refers to the OpenJS project rather than projects, e.g. "The OpenJS Collaborator’s Summit is a day and a half event that follows the Node+JS Interactive conference. This is a Node.js community-organized event where individuals involved in the OpenJS project will collaborate and discuss subject matters important to them, whether it’s next steps with HTTP/2, diagnostics, modules, website redesign, mentor initiatives, etc."
A. I agree on the wording. I think this is a result of the transition we are going through in making this OpenJS, not just Node.js. :) It's a work in progress that we have been trying to figure out for the last two. :)

We definitely invite any projects as a part of the OpenJS foundation to come and tell us what they would like, and how they may like to utilize the collab summit! Node of course has very specific goals on how collab summit serves their purposes, but folks like @jorydotcom have been part of the planning as a way to make sure any projects that raise their hands are included.

I hope I was able to clearly explain things here! But, always happy to hop on a call.

Also, if I got anything wrong or anyone else has opinions, feel free to chime in.

Additionally, we are doing a community corner during the conference - so - that might be a good place to present and try to get more contributors during the conf?

I checked with the events team, 1.5 days of space are being held for this.

Would you mind posting the details of the rooms?
I guess we are still doing the Node.js Code & Learn, right?

Are the dates finalized for Collab Summit Montreal?
Node+JS Interactive is on December 11-12, 2019 which is Wed-Thu (website)

Would Fri-Sat i.e. December 13-14 be a better option?

I think it would be really nice if it was clearer on the Node+JS Interactive site that the collab summit exists. Several attendees last year were disappointed when they learned about it but had already booked their flights home.

The separate page looks good. Two stray thoughts:

  • We had some preliminary talks last year about potentially doing something similar for other foundation projects, e.g. I would be willing to do something for Dojo if there's interest.
  • I do wonder with the top-level date being listed as December 11-12, if people will notice that there might be something to stay for after the primary conference as it is somewhat buried in the submenu? I tend to assume people don't read, so it might be cool if we have two lines for the date ranges, one for the conference and one for the extras? Excuse my horrible attempt at art work (and obviously the second line would have the right dates):

  • we are meeting weekly about this - if you'd like to be added to the invite pls ping @evahowe
  • rooms and configuration tbd in a few weeks -meeting is scheduled with events team, but room are booked for us for this. should be similar to last year
  • correct that we are doing collab summit the two days following the conf
  • we are discussing what we should do with code & learn, but it will probably be different than what was previously done
  • @dylans part of the reason we don't make it super prominent (last year as well) is because it's supposed to be for collabs only - so the though before was that folks that need to be in the know will be in the know. // @brianwarner

So funny as we had this conversation in our meeting on Tuesday! I have an email into Emily to find out details about what the space will look like. I have also chatted with Rachel about doing a bit more marketing around the non- Collab Summit (as I was also told they don't want this to be as publicized) as she starts to do more as we get closer. Happy to chat with you Matteo about any or all of this!

@ladyleet I thought part of it was to encourage new people to get involved with foundation projects but I've read the description and that's not the case. If it's really just for the core team then sure that makes sense (and probably doesn't make sense for Dojo to do something as I was thinking of it more as an opportunity to try to find more people interested in becoming contributors, etc.).

Updates:

  • the collab summit is happening and already advertised on the conference page
  • we are working with the event organizer to set up an registration process

What is left to do:

  • reach out to all project individuals to promote the event and ask them to propose a session for it, we want to increase the project collaboration and so far not everyone knows about this yet

Is there an existing channel someplace where we can have live chat related to CollabSummit or Node+JS Interactive? Like Gitter or slack?

During NodeConf EU 2018, we'd created a group on Twitter Messages - which served the purpose, although it's not designed for group chats.
